Overview

Reporting to the Convention Services Director, coordinates and manages the billing process for the Groups and Catering Sales department. Has a secondary reporting line to the Finance Director.

Scope of the position

The Groups Billing Coordinator is responsible for managing and overseeing all aspects related to the billing and payments of groups staying and events taking place at the hotel. This role is crucial for ensuring the accuracy and timeliness of invoice issuance and for resolving any discrepancies or inquiries related to group and events accounts.

Collaborates with sales, events, front desk, and accounting departments to gather necessary information for billing, and reconciliating all group accounts before issuing final invoices

Follows up with the Group Sales, Catering Sales & Conventions Department the overdue deposits, in order to guarantee that all payments are received in a timely manner prior the group arrival.

Once the group is in house, is responsible for updating in conjunction with the Group Coordinator/ Conventions/ Catering the pro forma invoices, ensuring all rates, additional charges, and discounts are correctly applied.

Is responsible for reviewing invoices with the Meeting Planners whilst the group is in-house, ensuring that all the charges are correct to maintain customer satisfaction.

Is responsible for closing group PM´s as per the company policies, monitors the status of payments for issued group invoices and follows up to ensure timely receipt.

Handles commission invoices related to the groups, managing all the required documents to guarantee the promptly payment.

Participate in trainings and other welcome, sales and finance related meetings as required.

Hours:

The typical working days of the Groups Billing Coordinator depend on groups and events business. The working hours should be from 09.00 AM to 17.00 PM, but are flexible according to evening events taking place in the hotel.

Role duties:

Listed below is an outline of some of the duties and responsibilities of the Group Coordinator:

  • Attend weekly Coordination meeting

  • Attend weekly One on One with DOCS

  • Attend credit meetings

What the Groups Billing Coordinator is not:

  • A replacement for the Groups Coordinator , Convention Services Manager, Catering Manager

Position Requirements:

  • Workspace with computer and Opera, Internet access and e-mail access.

Profile Requirements:

  • Fluent English

  • Experience in a Finance/accountancy role

  • Likes working with numbers

  • Attention to detail and accuracy
