POSITION SUMMARY

Enter and retrieve information contained in computer databases using a keyboard, mouse, or trackball to update records, files, reservations, and answer inquiries from guests. Transmit information or documents using a computer, mail, or facsimile machine. Operate standard office equipment other than computers. Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software. Handle incoming and outgoing mail, including date stamping and distributing incoming mail. Create and maintain computer- and paper-based filing and organization systems for records, reports, documents, etc. Compile, copy, sort, and file records of office activities, business transactions, and other activities. Enter and locate work-related information using computers and/or point of sale systems.

  • Apply for purchase orders through the purchasing system (Tree, BSS) and manage the progress of purchases using Excel sheets.

  • Prepare monthly utility usage reports based on data from the building maintenance system.

  • Enter schedules into the HVAC system according to the schedule of events.

  • Coordinates the schedule of repairs and inspections with related departments by e-mail, telephone, etc.

  • Prepare documents to be submitted to government agencies (Fire Department, METI, Health Department, Waterworks Bureau, City of Yokohama, etc.).

  • Support the work of the repair team.

Candidate Profile

Education and Experience

  • No educational background required.

  • Minimum of 2 years of experience in OA office work using Excel, Word, e-mail software, etc.

Follow all safety and security policies and procedures set forth by the company. Report maintenance and safety problems, accidents and injuries. Undergoes safety training. Be clean and professional in appearance. Maintain confidentiality of confidential information. Welcome all guests according to company standards, anticipate and accommodate guest needs, and assist persons with disabilities. Establish and maintain positive working relationships with other employees and help the team achieve common goals. Listen to and respond appropriately to the concerns of other employees. Adhere to quality expectations and standards. Consider and implement new ways to improve the organization's efficiency, productivity, quality, safety, and cost savings. Use correct terminology.

Perform bending, twisting, reaching hands overhead and below the knees, etc. Carry objects weighing 25 kg or less without assistance. Walks up and down stairs and ramps. Performs other reasonable duties.
